Glentress Bike Hire – Terms & Conditions

1. Formation of Contract

1.1
By completing a booking (online, by phone, or in person), you confirm that you have read, understood, and agreed to these Terms & Conditions. Completion of a booking constitutes a binding contract between you and Glentress Bike Hire.

1.2
Bikes and equipment may only be hired upon completion of the Hire Agreement or by accepting these Terms & Conditions during the online booking process. Glentress Bike Hire reserves the right to refuse or cancel any booking at its discretion.

1.3
All bookings are subject to availability. If a booking is made on behalf of others, the person making the booking warrants that they have authority to do so and accepts responsibility for ensuring all participants comply with these Terms & Conditions.

1.4
The hire period relates to the booked date and time shown on your confirmation, regardless of whether the bike is collected. Charges apply from the scheduled hire start time, not from the moment of physical collection.

2. Customer Responsibilities

2.1
It is your responsibility to ensure you are physically fit and capable of completing your intended ride. Glentress Bike Hire accepts no liability for failure to complete your hire due to fitness, illness, or injury.

2.2
You accept that cycling carries inherent risks. You undertake the hire at your own risk and must ride responsibly at all times.

2.3
You will not hold Glentress Bike Hire liable for any loss, injury, damage, or death arising from your use of hired equipment. You agree to indemnify the business against any claims resulting from your actions or omissions.

2.4
Glentress Bike Hire recommends suitable personal insurance for the duration of your hire.

2.5
You are responsible for the security and safe use of all equipment. You must not misuse, neglect, or subject equipment to unreasonable wear.

2.6
Damage caused through crash or neglect is your responsibility and will be charged for.

2.7
You must report any loss, theft, or damage immediately and are responsible for associated repair or replacement costs.

2.8
You must not sell, lend, dispose of, or otherwise part with possession of the hired bike(s) or equipment.

2.9
Staff support is not guaranteed during the hire period. It is your responsibility to check the bike before riding and perform minor adjustments if necessary.

3. Payment & Cancellation Terms

3.1 Payment

Payment is taken at the time of booking. The hirer agrees to pay the full hire cost in advance.

3.2 Cancellation Policy

If you choose to cancel your booking, the following charges apply:

  • Up to 1 month before hire date: 5% administrative fee

  • Up to 2 weeks before hire date: 20% of hire value

  • Up to 3 days before hire date: 50% of hire value

  • 1 day before hire date: 75% of hire value

  • Day of hire: 100% (non-refundable)

Glentress Bike Hire may consider exceptional circumstances at its discretion.

3.3 Rescheduling

  • One free reschedule up to 7 days before hire

  • £25 fee for reschedules made 4–7 days before hire

  • No reschedules permitted within 3 days of hire

3.4 Late Returns

Late returns are charged at £10 per 15 minutes per bike.

3.5 Security Deposits

A credit/debit card may be required as security. A deposit may be taken depending on equipment value or assessed risk. Deposits are returned provided:

  • Equipment is returned undamaged

  • Equipment is returned on time and to the correct location

Failure to comply may result in additional charges.

4. Equipment Use & Damage

4.1
Normal manufacturer-defined wear and tear is accepted.

4.2
You are responsible for the full costs of repair or replacement for damage, excessive wear, loss, or theft.

4.3
Helmets are provided and must be worn at all times.

4.4
Bikes do not include puncture repair tools or spare batteries unless stated.

4.5
Customers must check their bike before riding and ensure they understand the operation and range of an eBike.

5. Optional Accidental Damage Waiver

5.1
An optional waiver covers the following items only:

  • Chain (£50)

  • Cassette (£150)

  • Derailleur (£120)

  • Brake levers (£60)

  • Display/controller (£90–£225)

  • Saddle (£40)

  • Pedals (£99)

5.2
The waiver does not cover negligence, loss, theft, or damage to any other part of the bike.

6. GPS Tracking & Data Use

6.1
All hire bikes are equipped with GPS tracking for security, theft recovery, and overdue return management.

6.2
GPS data is linked to your booking and retained for up to 30 days for dispute resolution.

6.3
Anonymised data may be used to improve services unless you opt out by emailing us.

6.4
Data is stored securely and only shared where legally required.

7. Safety Requirements

7.1
Cycling involves personal risk. You must ride responsibly and within your ability.

7.2
Injuries may result from terrain, speed, collisions, rider error, or equipment misuse.

7.3
Novice riders should seek supervision.

7.4
Riding under the influence of alcohol, drugs, or strong medication is prohibited.

8. Liability

8.1
Glentress Bike Hire is responsible for injury or direct loss caused by our negligence, subject to clause 8.3.

8.2
We are not liable for:

  • Your own actions

  • Third-party actions

  • Unpredictable events outside our control

  • Indirect or consequential losses

8.3
Except for death or personal injury, liability is limited to the cost of the booking.

8.4
We are not liable if we cannot fulfil a booking due to force majeure.

9. Variations, Notices & Legal Framework

9.1
These Terms & Conditions form the entire agreement between you and Glentress Bike Hire, superseding any prior understanding.

9.2
These terms cannot be varied except in writing between both parties.

9.3
Notices must be made in writing.

9.4
Invalidity of any clause does not affect the remainder.

9.5
These terms do not permit third-party enforcement.

9.6
These Terms & Conditions are governed by Scots law, and both parties submit to the exclusive jurisdiction of the Scottish Courts.

10. Waiver & Release

10.1
By renting a bike, you accept and assume all risks associated with cycling and release Glentress Bike Hire from claims arising from injury, illness, death, or property damage during the rental period, except where not permitted by Scots law.

10.2
If booking for a minor, you confirm you are the parent or legal guardian and accept these terms on their behalf.
